GEMI Digital Assistant – Terms of Use
The website of the General Commercial Registry (G.E.MI.) hosts a dedicated artificial intelligence application, the Digital Assistant, designed to help users find information and understand matters related to GEMI.
What is the Digital Assistant?
The Digital Assistant is an application that uses Artificial Intelligence (AI) technologies to understand questions in natural language, search the available sources for relevant information, and provide answers in a simple and clear way.
It provides information and guidance on GEMI matters, such as the establishment and operation of businesses, publicity requirements, fees, statistics, and the Registry’s available interfaces.
The Digital Assistant is a supplementary information tool and does not replace the official services, procedures, or competent bodies of GEMI.
Important reminder: When using the Digital Assistant, you are not communicating with a person or a GEMI employee.
Are the Digital Assistant's answers reliable and official?
The Digital Assistant is provided for information and guidance purposes only. Every effort is made to keep its answers accurate and up to date. However, due to the nature of Artificial Intelligence, they may contain errors, omissions, or inaccuracies.
Its answers do not constitute an official GEMI response, an administrative act or decision, or personalized legal, tax, accounting, or other professional advice.
For matters that require official information or may have legal consequences, the information should be confirmed through GEMI’s official services and channels.
How is the Digital Assistant improved?
The Digital Assistant is continuously improved through evaluation, review, and optimization of its operation.
User conversations and ratings may be used to improve the quality and accuracy of the Digital Assistant’s answers, in accordance with the applicable personal data protection policy and the terms of use of the service.
User feedback through rating the answers is important for the continuous improvement of the tool.
Is its use mandatory?
No. Use of the Digital Assistant is optional.
Users can search for information and use GEMI’s available services through the official channels and procedures, without using the Digital Assistant.
Not using the Digital Assistant does not affect users’ access to GEMI’s available services.
How does it work?
The Digital Assistant uses Artificial Intelligence and Natural Language Processing (NLP) technologies to understand users’ questions and provide answers based on the available information and knowledge sources.
Users can submit their questions in natural language, without needing to use specific terms or wording.
Are there rules for using the Digital Assistant?
The Digital Assistant must be used lawfully and in accordance with these terms.
It is not permitted to submit questions or content that is illegal, malicious, or abusive, that contains harmful software or code (malware), or that aims to breach, deceive, or maliciously exploit the system.
Technical limitations may apply to the use of the Digital Assistant, such as limits on the length of questions or the duration of conversations, for reasons of security, proper operation, and prevention of malicious use.
In case of a breach of the terms of use, access to the Digital Assistant may be restricted or suspended, in accordance with the applicable framework and the prescribed procedures.
What data should I enter?
The Digital Assistant does not need personal data to answer users’ questions.
For this reason, you should not enter personal data or any other information that identifies you.
For example, you should not enter:
- full name,
- home or work address,
- phone number,
- email address,
- identification numbers or other details that could identify you,
- personal data of third parties.
What measures are in place to protect personal data?
The protection of users’ personal data and privacy is a key aspect of the Digital Assistant’s operation.
Even if users include personal information in their questions, we take technical and organizational measures to ensure that personal data is not stored on the server hosting the Digital Assistant.
Specifically, the text of the questions undergoes an irreversible anonymization process, using appropriate software, before it is stored. In addition, a series of measures are applied to ensure the protection of users’ personal data and privacy. For example:
- Your conversation with the Digital Assistant is deleted from your browser’s cache as soon as you close the tab containing your active conversation.
- The Digital Assistant is hosted on Public Sector Government Cloud (G-Cloud) infrastructure, where conversations are stored, after their content has been anonymized, for a maximum period of one (1) month, solely for the purposes of training, optimizing its operation, generating statistics, and preventing malicious use.
- The data used to train the Digital Assistant is not transferred outside the G-Cloud infrastructure and is not used to train any other Artificial Intelligence model.
- No automated decision-making takes place and no user profiles are created when using the Digital Assistant.
